We will NOT sell or provide any of your personal information to any third party, unless we believe in good faith that the law requires it or it’s required to complete the service contract. This privacy statement is designed to help you understand what information we gather and what we do with the information.

This Privacy Policy applies to all of our websites, including, without limitation: DirectVote®, myDirectVote®, DirectNominations®, DirectVoteLive® and DirectSurv each referred to herein as a "Site" and collectively the "Sites." The use of information collected through our service shall be limited to the purpose of providing the service for which our customer has contracted Survey & Ballot Systems, Inc.

Customer data received or transferred will exclusively be used for the execution and management of elections, nominations, petitions, surveys, awards, and evaluations. No personal information, such as names, addresses, telephone numbers, email addresses, membership numbers or other information shall be used for any promotional purposes, or anything beyond servicing requests for services.

Survey & Ballot Systems, Inc. works with several companies to help us deliver our services to you on our behalf. These companies provide services such as materials production, website use and distribution on our behalf. In some cases, these companies will have access to some of your personal information in order to provide services to you on our behalf. They are not permitted to use your information for their own purposes. Survey & Ballot Systems, Inc. will always secure client consent prior to granting access to such information.

As a standard practice, we use reasonable physical, electronic, and administrative safeguards to protect your personal information from loss; misuse; or unauthorized access, disclosure, alteration, or destruction. We will take reasonable steps to ensure that personal information is relevant to its intended use, accurate, complete, and current. We will only collect and store personal information for approximately seven years unless directed otherwise by the sponsoring organization.

The information we collect generally falls into two categories: (1) information voluntarily supplied by visitors to our websites; and (2) information collected automatically as visitors navigate through our websites.

We require visitors to login to our Site with the login codes we provide to them from either a previously sent email, text message or mailed communication. This login requirement is to ensure the visitor is a valid member of the sponsoring organization and to determine which valid members have submitted a ballot. After a visitor logs in, the visitor is requested to cast votes for the ballots available to them. Votes are tabulated across individuals and are shared only with the sponsoring organization in aggregate form. Votes from individuals are not accessed or divulged to any person or entity outside of Survey & Ballot Systems, Inc., unless required by the sponsoring organization. You will be asked to supply your email address if it is not within the file provided to Survey & Ballot Systems, Inc. so that we can email a voting confirmation. Visitors are also requested to answer a question regarding the satisfaction of their online voting experience.

To help make our websites more responsive to the needs and interests of our visitors, we keep track of the pages visited by each user and the date and time of the visit. We aggregate this data with the data on the pages visited by other users to track overall visitor traffic patterns.

Our web servers automatically collect some information about you when you request pages from our web servers, including your IP address. Your IP address is a number that is used by computers connected to the Internet to identify your computer so that data (such as the webpages you request) can be sent to you. Your IP address does not identify you personally. We use your IP address to, among other things, help diagnose problems with our web servers, and to administer our Sites.

We may invoke a standard feature of browser software called a "cookie" to ensure the security and privacy of those who are logged in. You can set your browser not to accept cookies, but if you do, you will be unable to vote online.

A final note: The web is an evolving medium. We may need to change our privacy policy from time to time. By continuing to use the services after we post such changes, you accept the terms of this policy, as modified.
